In today’s age having a basic calendar is a must, more so, having online applications at the tip of your fingers from your smartphone devices is essential. We live in an era where productivity is not an option, but more so a requirement to function in society, having multiple demands in a day, a dozen tasks and to-do lists, the question that arises is

What productivity Apps should I use?

That is a fair question and today, I will break down 5 different apps that you can utilize daily throughout all your smart devices and immediately connect to your tasks. We all have different responsibilities, so tailor it to your specific needs and make the best of this app that it’s main intention is to alleviate the mental stress of carrying all the information in our brains and instead, placing it on a device that can help us track, cross out and complete it all.

Why do you need a productivity app?

We have limited time in a day, but our days are filled with responsibilities that pull us in different directions. A productivity app will help you stay organized, focused, and efficient in managing your tasks, projects, and time. The apps that we will talk about today, provide tools like task lists, reminders, and calendars to help you prioritize what needs to be done, set deadlines, and track progress.

By using a productivity app, you can avoid forgetting important tasks, manage your time effectively, collaborate better with others if needed, and ultimately achieve your goals more efficiently, which I believe is the main reason why we want to stay organized. It acts as a digital assistant that keeps you on track and ensures you make the most of your time and effort.

There are plenty of ways to stay organized and be productive, even with a simple pen and paper, however, at times we forget our agenda or notebook. I know this because it’s happened to me plenty of times, but the one thing I usually never forget is my phone.

Carrying my phone around is like carrying my entire life with me, and why not my agenda, calendar and tasks too? So here are the 5 Apps that I would recommend you use to upgrade your efficiency and start delivering high productivity results.

Productivity App # 1: Notion

It comes as no surprise that the first App that I will recommend is the one I use the most for several reasons. Notion is a versatile productivity tool that combines note-taking, task management, and database functionalities into a single platform. If you’ve never used Notion, it is time to upgrade to this tool, like Today!

And to think that I used to be frightened by the looks of it, and thinking it was such a hard tool to figure out. Not true!

Notion allows you to create and organize your notes, documents, and web clippings in a hierarchical structure using pages and sub-pages. You can format text, add images, embed multimedia (such as videos and maps), and create tables within your notes. I mean is amazing!

Not only that, Notion can be used to manage tasks and projects through customizable kanban boards as well, as lists, and calendars. You can create to-do lists, assign tasks to team members, set deadlines, and track progress directly within Notion.

Are not convinced yet? Well notion can also, be used as a Database and Spreadsheets meaning, you can turn any list or table into a database, allowing you to filter, sort, and group data dynamically. This makes Notion so useful for managing everything from simple lists to complex project databases.

Notion has become an important part of my day-to-day life as I carry out personal tasks and to-dos, as well as Social media calendars, work projects, and much more.

I would highly recommend it, if you want to upgrade your game into productivity and see it all collected in one place. The best part, it’s Free! You do have the option to upgrade but I’ve used the free version for over 2 years and I’ve never had to upgrade.

Productivity App #2: TodoIst

As the name suggests, To-do-ist is a powerful task management app that syncs across all your devices. It lets you organize tasks, set deadlines, prioritize items, and collaborate with others.

Some other features are that the tasks can be organized into projects and categorized using labels for easy sorting and filtering. For priority labels, tasks can be prioritized using levels from p1 (highest priority) to p4 (lowest priority).

For due dates and recurring tasks you can set deadlines for tasks and schedule recurring tasks daily, weekly, monthly, etc. On sub-tasks, it can break down all your tasks into smaller sub-tasks for better organization and clarity.

Another important feature is, that Todoist syncs tasks and updates in real-time across all devices (iOS, Android, Windows, macOS, web), ensuring your task list is always up-to-date no matter where you are.

The interface is very user-friendly and easily adds tasks using natural language input. For example, “Meet with John at 2 pm tomorrow #Work”. A feature I loved using was the ability to rearrange tasks and projects effortlessly using drag-and-drop functionality.

You can use the free version, but you do have to upgrade to get all the features on.

Productivity App # 3: Microsoft To do

This App is a fundamental to-do list, yet very powerful and free! Integrated with Office 365, you can create task lists, set reminders, and sync across devices seamlessly. It is very user-friendly and simplistic for easy use.

The task creation is easy to create tasks with titles and optional details such as due dates, reminders, and notes. as well as Subtasks break down tasks into smaller steps or sub-tasks to manage complex activities more effectively. Not to mention that recurring Tasks can be set tasks to repeat daily, weekly, monthly, or custom intervals to automate recurring activities.

The To-Do App also seamlessly integrates with other Microsoft services and apps such as Outlook Tasks and Microsoft Planner.

The Cross-Platform Sync can also create tasks and lists across devices (Windows, macOS, iOS, Android, and web) to access and manage tasks from anywhere. This is an app that is made for simple yet effective productivity aspects.

Productivity App #4: AnyDo

This is one of my favourite apps to use for productivity for sure! Very similar to Microsoft but a step higher. Any.do is a popular productivity app designed to help users manage tasks, lists, reminders, and calendars effectively. One of the key features of this plan is task management. Easily create tasks with titles, due dates, and optional details like notes, sub-tasks, and attachments.
It also allows you to set recurring tasks and can repeat daily, weekly, monthly, or custom intervals to automate recurring activities. One that I love to use is Producitivy Levels, which other apps do not have, as you can assign priority levels (high, medium, low) to tasks for better organization throughout.

This has helped me tremendously as I will focus on the important ones mainly and then do the rest.

Another key feature is that you can organize tasks into separate lists or categories based on projects, priorities, or contexts. Use Tag tasks with labels to categorize and filter them easily. Game changer I’d say. It will also integrate throughout all your electronics, so you have your entire tasks list everywhere you go.

Productivity App #5: Asana

I couldn’t finish this post without adding Asana to the list! Asana’s mobile app offers project management features including task assignment, due dates, comments, and notifications. It helps you stay organized and productive on the move.

When you are talking about Asana, you’re talking about Streamline Collaborations, as it facilitates teamwork and communication with centralized task management and real-time updates. It also automates repetitive tasks and reduces manual effort, enhancing productivity.

Asana is widely used across industries for its robust project management capabilities, intuitive interface, and flexibility in adapting to diverse team needs and workflows. It scales with teams of various sizes, from small businesses to large enterprises. It tailors to specific workflows and preferences with customizable features and integrations. This is one that companies use a lot, but you can use it for yourself as well, especially if you are a one-show type of business.

What matters is keeping all organized and streamed in a way that you never miss a deadline or forget to do something because it wasn’t on your list.
